ITNL-Detachering - Sr admin/support employee

  • For one of our international clients we are looking for a senior admin/support employee. 

    6 month contract with an option to go permanent. 

    • Provide high level administrative support to the global teams based in Amsterdam including but not limited to: coordination of executive meetings and local town hall meetings, management of office supplies and equipment, coordination of visiting guests including security cards/access, etc. 
    • Manage office space and flexible working to enable an efficient work environment
    • Lead office maintenance and management activities, working directly with the local facilities team
    • Coordinate with local IT team to manage and track new/existing equipment
    • Coordinate administrative arrangements for new joiners and leavers to the Amstelveen office
    • Coordinate complex domestic and international travel arrangements
    • Prepare time and expense reports and reconcile credit card statements for global team executives 
    • Support Global Finance with reconciliation of invoices, management of vendor inquiries, coordination with offshore finance teams, etc.
    • Manage local communications for Amstelveen office, supporting HR and maintain existing collaboration sites
    • Update key contact lists and distribution lists including the International Partner Directory
    • Support and coordinate key people centric programs and well being initiatives
    • Be responsible for driving collaboration between the administrative staff within the Amstelveen office
    • Ensure appropriate cover across local administrative staff
    • Collaborate with local HR and provide support where appropriate
    • Be comfortable with dual reporting lines locally and globally


    • Self-starter with the ability to work autonomously 
    • Ability to create and foster relationships with management and communicate at a senior level
    • Ability to work well under pressure
    • Good written and oral communication skills for effective communication at all organizational levels
    • Previous experience of financial administration is desirable


    • Fluent in English (verbal and written)
    • Minimum of five years of executive level administrative support experience; preferably within a professional services firm 
    • Previous supervisory experience
    • Proficient with Microsoft Office Suite applications, including Word, Excel, PowerPoint and Outlook 
    • Ability to work in a global and virtual environment 
    • Ability to work a flexible schedule and overtime as needed
    • Attention to detail and pride in well-presented and accurate work
    • Strong customer service orientation. 
    • Close attention to detail with the demonstrated ability to multi-task and effectively prioritize in a fast paced environment
